GENERAL TERMS & CONDITIONS

BOOKING POLICY
At the time of each booking, 20% of the total amount will be required as a guarantee of the reservation
(not refundable). The total balance has to be paid 45 days before departure.
If travel date is less than 45 days from the confirmation, the total balance has to be paid on the moment of
the confirmation.
Any other payment conditions than those aforementioned, for example short-notice travels, exceptional
deposits, fully not refundable rates, or any other particular conditions, will be discussed case by case.

 

PAYMENTS
For each agreed payment (deposit, balance, extra) instructions will be sent via email with the amount to be
paid and payment instructions.
Unless otherwise specified, all prices are expressed in Eur. Virtuous Travel & Concierge offers multiple
payment options with full transparency and will disclose the actual amount in the required local currency to
be charged on the client’s credit card or bank account. The exchange rates are valid for the day when the
transaction of a payment or a refund is processed. Virtuous Travel & Concierge will use the daily market
exchange rates.

 

PAYMENT METHODS
Accepted payment methods are:

1) Wire transfer at the bank account specified on your confirmation documents

2) Credit cards:
For credit card payments, a secured link will be provided. Unless otherwise specified, the following fees will
be applied on the total agreed amount:
a bank fee of +1.5% if you pay through any Visa-Mastercard cards
a bank fee of +3.0 % if you pay through any American Express.
The credit card holder may receive an OTP code in order to confirm the transaction

 

CITY TAX
Unless otherwise specified, the hotel’s city tax is never included in the selling prices and it must be paid
directly at the hotels upon departure

 

CANCELLATIONS
In the event of a request of cancellation, a clear notice and reason (optional) must be received in writing via
email to your assigned travel designer and info@virtuous.travel in copy, and it will be calculated based on
Italy time (CET).

The cancellation fees applied will be the following:
– Up to 46 days prior departure 20% is due (total amount of deposit)
– From 45 to 30 days prior departure 50% of the total amount is due
– From 29 to arrival day or no show 100% of the total amount is due
Any other cancellation policies than those aforementioned, for example short-notice travels, exceptional
deposits, full non refundable rates, or similar conditions, will be discussed individually

 

CAUSES OF FORCE MAJEURE and UNUSED SERVICES
In case of unexpected operational difficulties or reasons of force majeure (local strikes, changes in opening
hours, unexpected closures, unexpected delays or similar problems) Virtuous Travel & Concierge may be
forced to change or cancel one or more activities planned. Virtuous Travel & Concierge reserves the right to
cancel an activity without prior notice due to reasons mentioned above with the only obligation of
reimbursing the cost of the unexecuted activity. In the event of unused services on customer’s decision,
Virtuous Travel & Concierge reserves the right to give no reimbursement.

 

INSURANCE
Virtuous Travel & Concierge strongly encourages all clients confirmed on any travel program, whether
domestic or abroad, to apply for a travel Insurance. This will prevent any claims in the event of medical
emergencies, trip cancellations, lost or stolen luggage, and other travel-related issues. It is highly
recommended an insurance that also covers any impact related to COVID-19 restrictions like cancellations,
contagions, quarantine or any other major causes related to it. Travel Insurance can reimburse you for non-
refundable air and land costs, if you have to cancel a trip due to personal or family illness or accident or
COVID-19 (if applicable).
Virtuous Travel & Concierge cannot be held responsible for any losses, expenses or personal items left
unattended during any travel program.
